Workspace Intelligence is an underlying Al system that provides Gemini with a real-time understanding of your work across Google Workspace. With Workspace Intelligence, all of your generative Al tasks within Workspace will be grounded in your Workspace data across Gmail, Chat, Calendar, and Drive, eliminating the need for users to manually provide context to Gemini on every query. For example, imagine you want to draft an update to your manager on "Project X" in Google Docs. You simply ask Gemini in Docs. Workspace Intelligence will consult all relevant data, your meeting notes, documentation, and chat discussions about Project X, and draft the report in seconds, with full citations. As an administrator, you have control over which data sources Workspace Intelligence can use for your organization. We understand this change may require some adjustments and have provided additional information below to guide you through these new controls.
What this means for your organization Workspace Intelligence securely draws from content in Gmail, Drive, Chat, and Calendar, as well as connected third party sources, to deliver personalized outputs via Gemini 3 reasoning. Starting April 22, 2026: • New Admin Controls: You will have access to new controls in the Admin console to manage which data sources are used to ground Workspace Intelligence. Note: it may take up to 3 days after rollout begins for these controls to appear. • Default Setting: The Workspace Intelligence settings will be default ON for all users in your organization. What's not changing: These changes do not alter our underlying data handling practices or privacy. commitments. Al features respect user-level content access, ensuring that responses are grounded only in content that a user already has permission to view. Your data is never used to train generative Al models or for advertising purposes.
Additional Details: • Workspace Intelligence powers Al capabilities, such as Al Overviews in Gmail and Drive, and Help me create in Docs, by securely accessing content across Gmail, Drive, and Calendar. • New Admin console settings will allow admins to decide at the organizational unit and group level which data sources (Gmail, Chat, Calendar, or Drive) may be actively searched by Gemini features in Workspace. • If enabled, the Al features respect user-level content access, ensuring that responses are grounded only in content owned by or shared with that user. • If you turn off Workspace Intelligence for a specific data source, generative Al features will not actively search for content from the disabled source. However, if a user adds a specific source to their prompt, that source will be used in Gemini's response. • For example, if you turn Drive off as a source, users can still ask Gemini about specific files. Gemini will consult these files, but it won't actively search for other files. Additionally, if you turn off certain data sources, users may lose access to specific Al features.
