[Product Update] New
Workspace Intelligence admin controls for Google Workspace
starting Apr 22, 2026
Google Workspace
Dear administrator,
You're receiving this communication because we're introducing Workspace
Intelligence. Workspace Intelligence is an underlying Al system that provides Gemini with a real-time understanding of your work across Google Workspace.
With Workspace Intelligence, all of your generative Al tasks within Workspace will be grounded in your Workspace data across Gmail, Chat, Calendar, and Drive, eliminating the need for users to manually provide context to Gemini on
every query.
For example, imagine you want to draft an update to your manager on "Project X" in Google Docs. You simply ask Gemini in Docs. Workspace Intelligence will consult all relevant data, your meeting notes, documentation, and chat discussions about Project X, and draft the report in seconds, with full citations.
As an administrator, you have control over which data sources Workspace Intelligence can use for your organization. We understand this change may require some adjustments and have provided additional information below to guide you through these new controls.

We understand this change may require some adjustments and have provided additional information below to guide you through these new controls.

What this means for your organization
Workspace Intelligence securely draws from content in Gmail, Drive, Chat, and Calendar, as well as connected third party sources, to deliver personalized outputs via Gemini 3 reasoning.
Starting April 22, 2026:
• New Admin Controls: You will have access to new controls in the Admin console to manage which data sources are used to ground Workspace Intelligence. Note: it may take up to 3 days after rollout begins for these controls to appear.
• Default Setting: The Workspace Intelligence settings will be default ON for all users in your organization.
What's not changing:
These changes do not alter our underlying data handling practices or privacy. commitments. Al features respect user-level content access, ensuring that responses are grounded only in content that a user already has permission to view. Your data is never used to train generative Al models or for advertising purposes.

Additional Details:
• Workspace Intelligence powers Al capabilities, such as Al Overviews in Gmail and Drive, and Help me create in Docs, by securely accessing content across Gmail, Drive, and Calendar.
• New Admin console settings will allow admins to decide at the organizational unit and group level which data sources (Gmail, Chat, Calendar, or Drive) may be actively searched by Gemini features in Workspace.
• If enabled, the Al features respect user-level content access, ensuring that responses are grounded only in content owned by or shared with that
user.
• If you turn off Workspace Intelligence for a specific data source, generative Al features will not actively search for content from the disabled source. However, if a user adds a specific source to their prompt, that source will be used in Gemini's response.
• For example, if you turn Drive off as a source, users can still ask Gemini about specific files. Gemini will consult these files, but it won't actively search for other files. Additionally, if you turn off certain data sources, users may lose access to specific Al features.
What you need to do
No action is required unless you'd like to change the default settings. To modify the Workspace Intelligence Admin settings, follow the steps in this Help Center article.

Thanks for choosing Google Workspace.

Hey this looks bad! We all have tailored our image posts specifically around the 4 image tile format. Now when you look at my page you get a super different vibe than you used to. This is going to ruin so many posts retroactively.

Could You Handle Your Kid Working For You? This hypothetical became reality for the creative director of a flashy new video game about fighting and food, Dosa Divas.

“I don’t know where the balance is as a parent" could be a statement about anything. But for my latest at @crossplayblog.bsky.social, it's an interview with @ekanaut.bsky.social about getting to work *with* his son on his latest game. (I also talked to his kid!) www.crossplay.news/p/could-you-...

CDC won’t publish report showing covid shots cut likelihood of hospital visits The report, which had cleared the agency’s scientific-review process, had been delayed. It now won’t be published at all, people familiar with the decision told The Post.

SCOOP: Two weeks ago, the head of the CDC delayed publication of a report showing covid vaccine cut likelihood of ER visits and hospitalizations by half. Now that report is no longer allowed to be published in CDC’s flagship scientific journal. My latest. 1/2

Stevie Wilson DIY Young Artists Residency — Interrupting Criminalization

I secured some funding last year to revive the Stevie Wilson DIY Young Artists Residency. I’m excited to announce that applications are open today until May 11 for young artists (ages 16-24) directly impacted by criminalization, policing, or punishment.

With more money, we could have awarded more DIY Young Artists Residencies this year.

We're hoping to do it again next year. If folks want to support a young artist at $2500 in 2027, reach out to me. Your donations are tax deductible.

Once again, I have forgotten to remind folks for multiple weeks that Violent Delights is in prelaunch on Kickstarter.

It's a chess-based RPG about Shakespeare's Romeo & Juliet, and apparently it's quite good!

I haven't had a long enough breath to talk about how AI is ruining the open web. API after API I used to use is closing - literally because paying the $$$ required to feed these impersonation machines is prohibitive.

A clip from The New York Times reads: "But only the entities that officially paid the tariffs are eligible to recover that money. That means that the fuller universe of people affected by Mr. Trump’s policies — including millions of Americans who paid higher prices for the products they bought — are not able to apply for direct relief.

The extent to which consumers realize any gain hinges on whether businesses share the proceeds, something that few have publicly committed to do. Some have started to band together in class-action lawsuits in the hopes of receiving a payout."

The average American family paid $1,700 in tariffs last year, according to the bipartisan Congressional Joint Economic Committee. Few will ever see any of that money back. The refunds will go to companies, if doled out at all. What a joke.

AI & robotics right now is mostly being touted as a way of decimating labor markets, or streamlining war and crowd control. Why would anyone be excited? Why wouldn’t people react to this as the threat they’re bragging it poses? I don’t distrust technology, I don’t trust corporations. Not the same.
